Fortify - Transition for Contractors with Multiple Logins Under the Same Account

Introduction

All LCPtracker users are required to onboard to Fortify, LCPtracker’s new security platform.  LCPtracker will be rolling this out in a phased approach. As part of the process, all Contractors who are currently using a Contractor License/Phone # User ID will be required to change to an email address as their User ID.

Some Contractors currently have multiple Contractor logins under the same account. These accounts may not be able to be merged as they need to have separate accounts for a variety of reasons.

This document will review how these Contractors transition to Fortify and some tips on changing their Contractor License/Phone # User ID to an email address.


Users This May Apply To:


Consultants

  • Third-party consultants hired to assist either in payroll entry or review, may have multiple logins under one account for LCPtracker Professional and represent multiple contractors.
  • These logins could be as the main Contractor user OR as additional users who have more limited access. Note: Additional users already have User IDs that are email addresses so in transitioning to Fortify, they can still use that email address going forward.


Contractor Users Entering Payroll for Multiple Companies

  • Common titles that fit this scenario:  Payroll Clerks, Payroll Admins, Accountants, Business Manager
  • These users currently have multiple user IDs to access each Contractor account under one account so that they have secure access under each separate account. Payroll is entered and certified separately under each account.
  • This scenario may fit Contractors with Joint Ventures where payroll is entered both for the JV and for the standalone companies.


Options for Changing User IDs to Email Addresses

Each Contractor License/Phone # User ID will be required to change to a unique email address and there can only be ONE email address used per Contractor.

Options in onboarding to Fortify and switching to an email address

  • Using completely different email addresses
    1. Examples:  sally@goodcompany.com and accounting@goodcompany.com
  • Using the same email address and adding a ‘+’ (plus) sign then adding another character to the username of the email address (what is before the '@' sign) will have LCPtracker see these as unique email addresses but all system correspondence will go to ONE inbox. 


  • You can use variation of letters, numbers to create email addresses
    1. Sally+CompanyNameNumbers@goodcompany.com
    2. Sally+LicenceNumberCompanyName@goodcompany.com
    3. Sally+PhoneNumberCompanyName@goodcompany.com

Note:

  1. The email address character length limit is 50 to create email addresses
  2. Spaces are not allowed, and it is recommended not to use special characters.
  3. Examples of what not to use (spaces and special characters after the + sign):


How the + (plus) Sign Works with Your Email Address

Plus addressing, also known as sub-addressing, is modifying your email address with a ‘+’ (plus) sign and more characters, to create variations of your email address that will still be delivered to your single email account.

You can do it with any email address that you currently have. Plus addressing is automatically enabled for all the major email providers. You can use plus addresses as unique addresses for services that you sign up for. However, you cannot send emails from plus addresses.


Important Points to Remember on Adding a ‘+’ (plus sign) to an Email Address

  • Emails are Received in One User Inbox
     
    A user that represents multiple contractors in the same database can receive emails to one inbox for all contractors. There is no need to switch through multiple inboxes to receive communication from LCPtracker.
  • Each email with a + is treated as a separate user
     
    A user will have to remember to use the appropriate username to access the intended contractor account.


Steps to Transition to an Email Address User ID in Fortify

Note: There are different workflows for main contractor users logging in with a contractor license/10-digit phone number and for Contractors who have additional user logins.


This workflow is showing the transition for ONE user who has three different Contractor User Ids in the same account.

  • You can use variation of letters, numbers to create email addresses
    1. Sally+CompanyNameNumbers@goodcompany.com
    2. Sally+LicenceNumberCompanyName@goodcompany.com
    3. Sally+PhoneNumberCompanyName@goodcompany.com

Note:

  1. The email address character length limit is 50 to create email addresses
  2. Spaces are not allowed and it is recommended not to use special characters.

Examples of what not to use (spaces and special characters after the '+' (plus) sign):

Sally+ABC consulting@goodcompany.com

Sally+ABC%$@goodcompanyl.com        


Scenario 1 – Contractors Who Are Set Up as Additional Users

These users already have email addresses as their User ID. When onboarding to Fortify, they can simply keep using this email address.

Existing Users who are selected to onboard to Fortify and already using their email addresses as their User IDs, will receive an Onboarding Email. The Onboarding email is the first step in the Onboarding process.

1. By Clicking on Complete Profile on the email, the users will be redirected to LCPtracker User Portal login screen to use the User ID and temporary Password on the email to login to their account.


2. On the Profile step of the Onboarding page, users need to click on the check box to accept the LCPtracker Terms of Use and Privacy Policy. The users must click on the Accept button to continue.


3. Users can update their Profile information and must click on the  Save and Continue button.


4. Users need to set up their new Password.

  • Current password: use Temporary Password from onboarding email. 
  • New password: create a new password.
  • Confirm new password: This password must match the new password entered.
  • Click on Save and Continue to Two-Step Verification button.


5. Users must set up Two-Step Verification. If they choose Enable Email Code, they will receive an authentication code every time they attempt to login to their account.


6. Lastly, click on Go to LCPtracker User Dashboard button.

  • You will be redirected to the Login page. 
  • Click Login, type in your Username and click Continue.


6. After selecting Enable Email Code, users will be given a recovery code every time they attempt to login.


In the event of not being able to use the code if you do not have access to the email or the two-factor authentication app (2FA), users can use one (1) of their ten (10) Recovery Codes to acces their accounts.

  • Enter your Username and Password and select Login.
  • Select the log in with a recovery code link.
  • Enter the Recovery Code and click Log in.



Scenario 2 – Contractors Who are Set Up as Main Contacts

The Contractor will log in with their existing Contractor License/10-digit phone number user ID. The system will know to automatically begin the Fortify onboarding process when necessary.   

When the Contractor attempts to login with User ID (Contractor License/10-digit phone number) and password, the Contractor will be redirected to Contractor License page to update the User ID (Contractor License/10-digit phone number), to a professional email as the account is already Fortify enabled.

1. If this Contractor has been using the email address test@email.com to log in as a different Contractor (in the same account), then they will not be able to use this same email address in transitioning this Contractor License/Phone # user ID.  

  • By adding a '+' (plus) sign and some other character(s) to the username part of the email address, you will be able to create a second email User ID BUT all communication from LCPtracker will still go to the email inbox for test@email.com.


2. An authentication code will be sent to the provided email to verify that user has access to the correct email which in this case the email address is: test@email.com.

 

3. All the accounts associated with the Contractor License will be displayed and users will have the opportunity to select the accounts they want to continue having access to. The Contractor will then have to confirm the selection.
 

 

 

















4. Fortify will check if the email has been registered. If it has not, that email will be registered as the Contractor’s new Username (test+1@email.com) to log in. The Contractor will receive the Onboarding email (in test@email.com) to initiate the Fortify Onboarding process. The next time the Contractor logs in, he will be using a new email (test+1@email.com) and a new password. 




Log Out of User Portal

Once an account is Fortify enabled, it is important to know that you will want to log out of the User Portal when you want to end your session.   


 

Updating an User Role


Full Contractor vs. Limited Contractor

The Full Contractor role has ‘full’ rights within LCPtracker Pro. This means the user can update the Company Information page, create new users, and change the LCPtracker Pro roles for a user in the Add/Edit Additional Users page. 


The Limited Contractor role has ‘limited’ rights within LCPtracker Pro and is equivalent to a ‘view-only’ role.


How to remove an old/wrong email associated to an account

If you or a colleague has the Full Contractor role in LCPtracker Pro, then you can edit the roles for others to become Full or Limited Contractor.

For example, if you were setup up as an additional User to an account you no longer need access to. You now need to associate the email to another contractor account under the SAME database that YOU DO need access to.

Options: 

  1. Have another Full Contractor delete you
  2. Use the Use the plus addressing solution to create a new username, log in to the account and delete the needed email user
