Chapter 1: B2GNnow Interfacing Data with LCPtracker
B2Gnow provides the flexibility to determine and flag which contracts have Prevailing Wage reporting requirements. These contracts are interfaced with the LCPtracker Prevailing Wage program and available for review in LCPtracker.
Please note that this is a one-time, one-way data push from B2Gnow into LCPtracker. Data that is changed in B2Gnow does NOT update in LCPtracker through the interface. Updates that are made after the information is pushed through must be done manually.
In addition to sending the Contract and Prime Contractor information, individual Subcontractors may be interfaced with LCPtracker as well. Both processes are described in Section1 and 2 below.
Section 1: Interfacing a Contract & Prime Contractor
The following instructions assume that the contract is already set up in B2Gnow.
1. In the “Contract Main” tab, locate and click the “Edit Contract” link
2. From the “Contract Compose” page, scroll down to locate the “Synchronize with Prevailing Wage System” field.
3. Select “REVIEW” and “SAVE” from the bottom of the Review Contract page.
Section 2: Interface a Subcontractor
The following instructions assume that the subcontractor is already set up on the contract record in B2Gnow. The contract must be set to “synchronize” to interface the associated subcontractors.
1. From the Subcontractors tab on the contract record, locate the Subcontractor and select the “Edit” option from the corresponding actions field.
2. From the Contract Management: Edit Subcontractor page, scroll down to locate the “Synchronize with Prevailing Wage System” field.
3. Select the “Yes –export this record to LCPtracker and update as needed” option.
**When the project is set to interface to LCPtracker, EVERY Contractor/Vendor will be defaulted to also interface automatically. Please make sure to change this if they should not be interfaced over.
4. Select “REVIEW,” and then “SAVE” from the bottom of the Review Subcontractor page
Chapter 2: LCPtracker Interface
The B2Gnow/LCPtracker interface downloads Projects/Contracts, Prime Contractors, Subcontractors, and Project Assignment data from B2Gnow into LCPtracker.
Once the needed steps in B2Gnow have been taken by the Administrator—including checking off all Projects, Contractor Accounts (Primes and Subs), and Contractor Assignments to the Projects—the LCPtracker Administrator can now log in, or toggle over, to LCPtracker and complete the interface transfer.
Only Administrators with either “Full Admin,” “Business Manager”, and “Limited Admin” rights will be able to access the parts of the system where these three tasks can be completed. (NOTE: the “Limited Admin” role must be assigned to all departments to perform these tasks.) The “Prime Approver” Admin role may only perform the Contractor/Subcontractor tasks after the database Admin has made the project active.
Every time a new Project, new Contractor account (Prime or Sub), or new Contractor assignment to a Project is created in B2Gnow, each Administrator must go through these few steps to download them (each category separately) into LCPtracker.
Please note that the Project name and Project number in LCPtracker must match what is in B2Gnow. If either of these is changed in B2Gnow, they must be changed manually in LCPtracker. Failure to do so may cause data issues.
Section 1: Downloading Project Data
1. Once logged into LCPtracker, go to the “Setup” tab, and click “Add/Edit Project”
2. Click on the “Show Pending List” button. This activates the interface to pull new Projects over from B2Gnow.
3. The pull-down list will only show those projects that were marked in B2Gnow to transfer over.
• Note: It is best practice to enter the project code in front of the project name and ONLY enter the project code in that field. if the project code has over 50 characters, the interface will not occur
4. Pending projects must be selected in the drop-down list one-by-one to check for required data that is missing, and/or to add additional information, such as goals. (Please note that required fields display a red asterisk *.)
5. The project should now be marked as “Active” using the pull-down labeled “Status” and then click “Save”.
6. The Department, Jurisdiction, and Location fields must all have a selection entered; then click on the “Save” button to save this Project in LCPtracker.
Note: if B2Gnow has not configured Date 1 to interface over to LCPtracker, you may need to manually enter the Prevailing Wage Lock-in Date before saving
7. The Project transfer is now complete.
Section 2: Processing Pending Contractors
1. Click on the “Set Up” tab.
2. Click “Contractor Setup”.
3. Click on “Add/Edit Contractors”
4. Click on “Show Pending List”
5. Select a Contractor to edit from the drop-down list; change the status from “pending” to “active”. Any fields with red asterisks (*) must be filled out.
6. Once the above steps are done, click on “Save”. LCPtracker will send an email to the Contractor with their new login information for the system.
7. Repeat process until all pending Contractors are processed and added to the Active Contractor list.
Section 3: Processing Pending Assignments
1. Click on the “Set Up” tab.
2. Click the “Contractor Setup” button.
3. Click on the “Pending Assignments” button
4. You can process a single pending assignment by clicking on the check box on the left side, under “Select” and then click on the “Process Assignments” button.
5. You can process multiple assignments at one time by clicking on the “Toggle Selection” button at the top, and then click on the “Process Assignments” button. The Contract Vendor ID and Current Award Amount (if entered in B2Gnow) will now interface over on all new entries. Both can be manually changed under the Contractor Assignment page.
Note: if you try to process an assignment before the project and/or contractor is made active you may receive the following message. Go back to the Project or Contractor setup to make your selection active, save your file and then come back and process the assignment again.
6. Contractor will receive an email from LCPtracker, notifying them that they have been assigned to a Project.
7. If an assignment is no longer desired, ensure you have unchecked the Synchronize with Prevailing Wage System button from B2Gnow and simply click “Delete” for the selected pending assignment.
Note: If a project has more than one assignment for the same contractor, only the first assignment will be processed through the pending assignments page. Any future assignments will need to be added manually to the Add/Edit Contractor Assignment page.
Section 4: Add Required Fields in Contractor Assignment Page
Note: This step is only required if the Database Admin has turned on the requirement for Contractor Start Date, Contractor ID (the Prime will not have an entry, but any subs will have a system generated B2G code in this field that can be edited or updated by the Admin), Responsibility Code or Contract Amount (if this is entered in B2Gnow, it will interface over). Any changes to the information that interfaced over from B2Gnow for the Contract ID or Contract Amount can be modified manually at this step
1. Click on the “Set Up” tab.
2. Click “Contractor Setup” button.
3. Click on the “Contractor Assignment” button.
4. Select the Project you want to modify or need to assign a Contractor to. Any Contractors that were previously assigned will populate.
5. Find the assignment you need to update and/or modify, hover over it to show the add, modify, delete button, and click on the “Edit” icon.
6. A screen to the right will open where you can enter the required information for each Contractor. Once you have made your update, click “Save”.
Note: all assignments should first start in B2Gnow and interface over to LCPtracker to keep the interface between the two systems in the proper format. As mentioned above, if there are multiple assignments for the same contractor on the same project, any additional assignments after the first assignment to that project, will need to be done manually following the next steps.
7. Hover over the hiring contractor (sub to) name and click on the green plus sign (+). This step allows you to add your additional assignment for a sub-contractor already assigned to this project that did not come over to the pending assignment page.
8. Select the Contractor, fill out the fields with the red asterisk and click “Save”.
Note: B2Gnow will automatically interface over with a B2Gnow generated Contract ID number. This can be modified manually in LCPtracker at any time. If a contract amount was entered into B2Gnow prior to the B2Gnow interface, this amount will be showing in LCPtracker. This too can be modified manually in LCPtracker at any time.
Process Complete
Once all Pending Contractor Assignments have been processed, the entire interface process has been completed.
Note that the three different sections (Projects, Contractors, and Contractor assignments) can be done separately at any time.
FAQS
Question: What if my contractor already had an LCPtracker login, and now they are assigned a B2G User name?
Answer: LCPtracker is now Fortify enabled. If you have been assigned a second user ID with B2Gnow number, you will use that number in LCPtracker to onboard the new user ID. Once onboarded, you will use your email address to login with Fortify.
Question: If I delete my contractor or contract from “pending” status and resubmit, will the information be updated?
Answer: It will not. Once something has been deleted from pending status by an Admin, it will not reappear if sent over in the interface again.
Question: What fields transfer data from B2Gnow to LCPtracker?
Answer: There are standard fields within B2Gnow set up to specifically interface to LCPtracker. In addition, there are configurable fields that can be sent over to LCPtracker. Details are outlined below.
The table below outlines the fields that will transfer from B2Gnow to LCPtracker. Those fields that are listed in black text are standard fields. The fields listed in blue text are only present when the B2Gnow Workforce module is active. Those in green text are configurable fields within B2Gnow.
