Admin Notice Processing
Once an Admin Notice template has been setup (refer to the Set up tab above), an Admin or Prime Approver can send email messages to the contractors and subcontractors.
Under Admin > Admin Notice Processing, you can load the notices you want to view. Using the filters will allow you to narrow your search down accordingly. You also have the ability to use the “Hide Closed” checkbox to manage your Admin Notices dashboard and show only active notices in the system.
Once you have made your selections, click Load Data to view all active notices.
Send A Notice
You can send a notice to a contractor directly from the database by clicking on Admin >> Admin Notice Processing >> Add New Notice.
To send a notice:
- Select the Contractor
- Select the project
- Select a specific CPR date (optional)
- Enter a case number (optional)
- Enter a Notice Title (Subject line of email)
- Select the Notice Type
- Enter the Notice Message (pre-populated from template but can be modified)
- Enter an Administrator note (not visible to the Contractor)
- Enter today’s date in the Notice Date Field
- Click Save
The notice is then sent to the Contractor and copied to the Prime if specified in the set up.
The main contact for the Contractor receives an email and the notice appears in the 2. Notices >> Administrator Notices section of the Contractor’s login.
Track a Notice
To track and edit notices, click on Admin >> Admin Notice Processing.
Administrator actions available are:
- Edit Admin Notice: This allows full edit capabilities of the admin notices such as adding a time stamped message in edit Notice Message and to add Confidential Admin Notes. After edits are performed, you will need to resend the Notice to contractor.
- Resend Admin Notice: System will resend the Notice via e-mail to contractor in addition to previous notice sent.
- Close Admin Notice: Closing an Admin Notice changes its status to close.
