Edit Employees
The Edit Employee function can be performed under the Admin tab, by clicking on the Edit Employees button. Administrators can edit employee data to reflect:
- Address Exemptions- When an employee address is validated, it will be compared to the US Postal Service database and a possible match may be suggested. The contractor is prevented from submitting a certified payroll report when an address is not validated if Validation 59 is set to yes/notice/enforce. If an address has not been validated by the US Postal Service database but is confirmed accurate by the Contractor, Administrators can provide an address exemption. It will allow the contractor to proceed with the certified payroll process. To provide an address exemption, select the employee from the drop-down list and check the ‘Exempt Address’ box. The Contractor can now move forward with entering and certifying records for that employee without receiving a Payroll Notice. Reference the Address Validation Guide for additional information on this setting.
- Apprentice Approvals - The Approve Apprentice portion of the Edit Employee screen provides the ability for the Administrator to approve Apprentices. The Contractor enters the Apprentice ID, Apprentice Rate Percentage, Period/Level/Step, and the Apprentice Registration Date. An Administrator or a Prime Approver, if given the ability, can approve the Apprentice by selecting “Approved” under the Apprentice Approval dropdown.
Once this is selected, the system will record the User ID of the person who approved the Apprentice and the Approved Date for the day the Apprentice was approved. The Expiration Date will need to be entered before the record can be saved. You can use this feature in conjunction with the eDocuments feature to upload apprentice certificates.
If the Admin chooses to reject the Apprentice, an additional box will be shown allowing the Administrator to send a message to the Contractor that will be sent via email.
- Set geographic location- You as the Administrator can assign employees to a geographic area of the city under the Admin tab; scroll down to the bottom of the page. You can select a Ward or City Council area, a defined community area, or a project area. Project areas may be overlapping so an employee can be assigned to several areas.
