E-mail Notification for case creation
When a new case is created, Case Manager will send the case creator an email to alert them of a successfully created case. Follow these steps to use this feature.
How to:
This feature notifies a compliance officer by email when a case has been created by them. To use this functionality follow these steps:
- Open Case Manager: A table will open with all the cases you have permissions to view.

- Create a new case: click Create Intake button and fill in the required fields.


- Receive Confirmation: after creating the case, the compliance officer who created the case will receive an email with the case code.

- Resend Email if Needed: If there's a problem sending the email, click the icon at the top of the case description to try again.

- Check activity log: In the details tab, go to the activity section to see the log showing the case creation details.

Forwarding Emails to Case related emails to Case Manager
You can forward any email related to a case directly to Case Manager.
How to:
Set up email forwarding rules:
- Access Email Settings: Go to the email service (Outlook, Gmail, etc.), go to the settings and locate the rules for emails.

- Create a New Rule: Find out the form with the following details.
- Fill Out the Form:
- Title (e.g. “Case Manager Email Forwarding”)
- Required Conditions: Subject must include: [cm#
- Action: Redirect to: cm@lcptracker.com

- Save the rule.
Forwarding Case-Related Emails
- Find a Case-Related Email: Locate the email you want to forward.

- Prepare the Email to be Forwarded: Select the email and choose the Forward option.

- Fill Out the Forwarding Details:
- To: Add CM@lcptracker.com
- Subject: Add [cm# followed by the case ID (e.g., MW-1234)
- e.g. [cm# MW-1234]
- Send the Email:
- Select Send. The forwarded message will appear in the activity section as a separate activity.
Updating Activity Section
- Log into Case Manager

- Locate the Case: find the case forwarded and click on the activity tab to view the forwarded email.

- Add Details/Content to the Activity. Select the activity to add more details and content like, milestones, time spent on task, attach necessary files, and content about the activity. Add the milestone to the form.
Details to consider
Within this functionality, some details need to be considered:
- If the email is not sent correctly, the record in the activity tab will not appear.
- The record that is created in the activity tab can be edited and modified but not deleted.
