The level of access granted to users within the platform is determined by the access format selected during the initial configuration of the account. Our platform offers two formats: Universal Access and Group-Based Access. Depending on the customer's needs, one of these formats can be configured, allowing for a flexible approach to managing user permissions.

 

In the following sections, we will detail the specific capabilities and access levels associated with each role, based on the access format chosen during configuration. This will help you navigate and utilize the Product Case Manager to its fullest potential while ensuring that permissions are tailored to your desired level of control and security.


Roles

Case Manager has a few roles to define a set of settings that determines what users can access and what actions they can perform within the system. The permissions are based on the organization's business logic, ensuring that users have the right access. The available roles in the system are:

  • Moderator: The Moderator role encompasses comprehensive control over the account, including settings and user management. Moderators can configure account settings, manage user roles and permissions, and ensure the smooth operation of the system. This role is essential for maintaining the integrity and security of the platform.
  • Owner: The Owner role is ideal for supervisors of investigators, compliance officers, or case administrators. While they oversee account data, their access is limited to ensure data integrity. Owners can view all cases and manage specific law groups, but their ability to modify case data is restricted, maintaining a balance between oversight and data security.
  • Administrator: The Administrator role is the backbone of the application, responsible for creating and managing cases from start to finish. Administrators handle the collection of evidence, documentation, and other activities related to their cases. They track complaints and guide each case through the entire investigation process, ensuring thorough and efficient case management.
  • Viewer: The Viewer role is designed for interns, temporary helpers, or any team members who need read-only access. They can view all cases, be assigned to specific case law groups for review, and download file attachments, ensuring they have the necessary information without the ability to modify data.


Permissions

In Case Manager, each role is assigned specific permissions that define their capabilities within the system. These permissions ensure that users can perform their designated tasks effectively while maintaining data security and integrity. Depending on the account settings, there are two types of access pathways: Universal Access, where all users can view and have access to all cases regardless of law group association in the account.

 

In the Group-Based Access pathway, Group-Based Access allows users to be associated with specific law groups and grants access to the users of the cases within their assigned groups. The ability to create cases is dependent on the assigned laws and law groups. This structured approach to permissions and access pathways ensures that users have the appropriate level of access needed for their roles while safeguarding sensitive information.

  • Account Management Permissions. These permissions define how users interact with all processes related to case records. The permissions in this section vary depending on whether a user has Universal Access or Group-Based Access.
