The following guide will describe the available Administrator user profile assignments within Workforce Manager.
There are three (3) Administrator profile assignments available. The list below is in order by user accessibility, from highest to lowest functionality.
- Account Administrator
- Limited Administrator
- Dynamic Administrator
Each user profile assignment is described in detail below. Analyze each profile assignment before choosing the most appropriate role for users in the database. Workforce Manager strongly recommends the Administrator profile logins are never shared. An organization can create as many Administrator profiles as needed; refer to the accounts ‘Contract for Administrator’ for user profile minimums.
Adding a New Administrator User profile
To create a new Administrator user profile, select ‘User Account Manager’ in the main menu located on the left-hand side of the screen.
Once the button is selected, a new screen will populate, enabling an Account Administrator to add or make edits to existing Administrator profiles. Only an Account Administrator can make edits and create another user profile.
To create a new Administrator profile, select the ‘+ Create’ box on the top right-hand side of the screen.
The required fields (marked with a red asterisk *) at a minimum need to be entered, including the new Administrative user's first and last name and e-mail address. The new user's appropriate profile access role must be selected as well as which records, and sections are accessible within the records page.
Administrator User Profile Accessibilities and Descriptions
The three Administrator user profiles are described below. If additional information is needed on how the below profiles work, please contact the Account Manager for further details.
Account Administrator
This profile type has full access to perform all functions in the system available to the Account Administrator. It is the only user profile that may set up and assign other Account Administrators.
Worker Records | Full Accessibility |
Company Records | Full Accessibility |
Project Records | Full Accessibility |
Job Info | Full Accessibility |
Limited Administrator
This profile type has access to perform limited functions in the system. This type of Administrator can add new worker records and delete worker records (worker record permissions are below in the example).
Worker Records | Add a record, delete a record. Account Admin to determine all other access. |
Company Records | Cannot add or delete a record. Account Admin to determine all other access. |
Project Records | Cannot add or delete a record. Account Admin to determine all other access. |
Job Info | Cannot add or delete a record. Account Admin to determine all other access. |
When selecting the limited user profile assignment, the worker record permissions will update the proper access options. Each record type will show the sections available to either give no viewable access, view-only access, or view and edit access. If the area allows for file attachments, the attachments' access must be selected as well (no viewable access, view, and attach).
Dynamic Administrator
This profile type is the most innovative and flexible, an account can be set up for one permission or all permissions based on preference. The unique distinction from the Limited Administrator is the ability for the Account Administrator to decide what record type permissions to give. After the record permissions are selected, the identified permissions will update the proper access options. Each record type will show the sections available accesses, view only or edit. If the area allows for file attachments, selecting the attachments' access will enable or disable the functionality (non-viewable, view-only, and attach).
