Add/Edit Geographic Types & Areas

As the Administrating Agency it is possible to track your subcontractor’s employees by Ward, Community Area, Congressional District or State Senate District. The steps to set this up and track this manually will be explained below.

If you choose not to track this information, you can skip this section within your Set Up page. Note: if you are not utilizing this, you can request to have the GIS section not visible on the employee page. Please contact your Implementation Project Manager or Account Manager to make this change.


Auto Geo Assignment using KML Map 

We also have the functionality to auto assign the Geographic assignment by using a KML (Keystone Markup Language) map file.  If you would like more information on this functionality, please contact your Implementation Project Manager or Account Manager.


Add/Edit Geographic Areas

The Geographic Areas designation is independent of other boundaries and assigned in a separate process.  After a Geographic Area Type is created, it is then important to enter the Geographic Areas that will be selected by your Contractor when entering their employee information.  This is a manual process (if KML Maps as mentioned above are NOT used)   

The Agency/Admin would need to create the list that will be made available to the Contractor to make their selection.  To make this entry required, the Agency/Admin would need to ensure that Val_50 is turned to Yes/Notice/Enforce to require the manual entry to be made before proceeding.  Note: if the Agency/Admin has made the decision to purchase the Auto-Geo Assignment, the setup is slightly different and will require your PM to work with you.  

An alternative approach is to use a list of ZIP codes instead of exact political boundaries to approximate the ward/ district areas.  We have reports that use a list of ZIP codes available. 

To Add your Geographic Areas, go to the Set Up >> Add/Edit Geographic Areas >> Click Add >> enter the name of your Geographic Area >> choose the Geographic Area Type to assign it to and Save. Enter as many as needed.


Note: if you wish to require your Contractor / Subcontractors designate their employees to a specific Geographic Area & Type, once you have completed the above steps, you will need to turn on Validation 50 to Yes/Notice/Enforce and ensure that the GIS area is not hidden on the add/edit employee screen.
